Who we are

Fallon Pilott Surveying Services Ltd is the data controller for the personal data in this policy. Our company number is 17195307. Our office is at Rodney Chambers, 40 Rodney Street, Liverpool L1 9AA. To ask about anything in this policy, email survey@fallonpilott.co.uk or call 0151 374 1263.

We are regulated by the Royal Institution of Chartered Surveyors. We handle personal data in line with the UK General Data Protection Regulation and the Data Protection Act 2018.

The information we collect

When you ask for a quote or send us a message, we collect the details you give us. These are your name, email address and phone number. They also include the house name or number and the postcode of the property, the type of survey or valuation you want, and your timing. We also keep anything you write in the message box.

When you use the website, our hosting provider keeps standard server logs. These record the pages requested, the time of each request and the IP address it came from. We use them to run the site safely and to find faults.

With your consent, cookies from Google record how you found the site and what you did on it. These are analytics and advertising cookies. None of them is set until you accept.

How we use it

We use your enquiry details to reply to you and to prepare your quote. We use them to arrange and carry out the survey or valuation you instruct. We also keep the record of that instruction that our professional standards require.

We use website and analytics data to keep the site running. It shows us which pages and campaigns bring people to us, and it helps us improve the site. We do not sell personal data. We do not use it to make automated decisions about you.

Our lawful basis

We reply to an enquiry and prepare a quote because you have asked us to take those steps before a contract. We carry out an instruction under the contract itself. We keep records of our professional work because of our legitimate interests and our duties to our regulator. Analytics and advertising cookies rest on your consent. You can withdraw that consent at any time.

Who we share it with

Your enquiry reaches us by email through an email delivery provider. It is also held in a secure database so that no enquiry is lost. Our marketing partner, ADVRT, receives enquiry details so that it can measure which campaigns work. ADVRT acts on our instructions under a written agreement.

With your consent, Google Tag Manager, Google Analytics and Google Ads process cookie data on Google's servers. Those servers may be outside the United Kingdom. The data is protected by Google's standard contract safeguards.

We share personal data with nobody else unless the law requires it or you ask us to. For example, you may ask us to send a report to your solicitor or lender.

Cookies

The site sets no cookies of its own. Google Analytics and Google Ads run through Google Tag Manager. They set no cookies until you accept them in our cookie banner. Before you choose, or if you say no, Google gets only basic signals with no cookies, such as a page view. We store your choice in your browser for six months, so that we do not ask again on every page. You can change it at any time with the Cookie settings link at the foot of every page. If you change a yes to a no, we remove the Google cookies. While you complete the quote form, your answers stay in your own browser so that nothing is lost if you close the page. The map on the Contact page loads from Google only when you ask for it.

How long we keep it

Enquiries that do not become instructions are kept for up to two years. That lets us pick up the conversation if you come back to us. Records of surveys and valuations we carry out are kept for as long as our professional indemnity insurance and RICS rules require. That is currently at least six years after the instruction ends. Server logs are kept for a short time for security and are then deleted.

Your rights

You have the right to ask for a copy of the personal data we hold about you. You can ask us to correct it if it is wrong, or to delete it where we no longer need it. You can ask us to restrict how we use it, or object to that use. You can also ask for the data you gave us in a portable form. You can withdraw consent to cookies at any time.

To use any of these rights, email survey@fallonpilott.co.uk. We reply within one month. If you are unhappy with how we handle your data, you can complain to the Information Commissioner's Office at ico.org.uk (opens in a new tab).

Changes to this policy

We review this policy when the way we handle data changes, and at least once a year. The date at the top shows when it was last updated.
